Overview:

The primary responsibility of the Intake Coordinator/Health Information Specialist is to support the Washington State Community Based Programs with referrals, inquiries, and data management, as well as maintain client mental health records. This role will act as the first point of contact for external referring agencies (including schools and other providers) and families seeking services, and will collaborate with clinical staff to uphold documentation requirements. The ideal candidate will prioritize kind and efficient communication, have excellent organizational and analytical skills, strong writing skills, and build relationships with other providers and agencies within King and Pierce County.

Responsibilities:

  • Oversee referral process for all Washington State Community Based programs, including monitoring the phone/email lines, responding to external inquiries for services, and completing referral forms from outside agencies and families.
  • Coordinate and schedule intake appointments and monitoring the program waitlist.
  • Maintain constant communication with Program Director and Program Supervisors around caseloads and potential referrals.
  • Responsible for collecting and maintaining demographic data on existing clients and incoming referrals.
  • Serve as first point of contact via phone/email to address questions about program services and capacity
  • Oversee day-to-day operations of clinic location, including COVID protocols, supply ordering, greeting clients, checking mail, etc.
  • Maintain and build relationships with external referring agencies including schools and other local providers.
  • Create and maintain client mental health charts for all Washington State programs according to HIPAA, state and Seneca regulations.
  • Monitor and track required Medicaid documentation, ensuring accurate completion according to established programmatic, county, and state guidelines.
  • Verify Medicaid eligibility for all new community based referrals and on a monthly basis through the state and county systems.
  • Process Record Requests in compliance with HIPAA rules and Seneca policies and procedures

Qualifications:

  • Bachelor’s degree required
  • Excellent organizational, writing, and communication skills
  • Computer literacy including Microsoft Office Suite
  • Previous experience in comparable position is preferred
  • Ability to structure and perform routine tasks
  • Ability to work as a team member
  • Bilingual abilities strongly preferred
  • Valid Washington driver’s license with a clean driving record. Must be insurable under Seneca’s insurance policy
  • Clearance of TB test, physical exam, fingerprinting and any other mandatory State/Federal requirements
  • Proof of COVID-19 vaccinations

Schedule:

  • Full time
    • Monday – Friday
