Counseling Connections & Associates is a modern mental health private practice whose vision is to redefine the therapy experience through a progressive, high-tech, and client-centric approach.

We are hiring an Office Manager to help our clients, providers, and our practice thrive. Our ideal candidate is someone who has a passion for customer service with the energy to support a busy office. This job entails a lot of interaction with people, both in person, over the phone, and through email. We are looking for someone with a “Client First” attitude who can provide administrative expertise to our clients to ensure they receive 5-star service.

Qualifications Include:

  • Outstanding people skills. We need you to be both compassionate and assertive.
  • Experience with EHR software (BIG PLUS, but not necessary).
  • Proficient in Google Workspace applications.
  • Excellent organizational and time management skills with an ability to multi-task and prioritize job duties.
  • Ability to change direction quickly and work well under pressure while maintaining professional character.

Education:

  • High School Diploma or G.E.D. required.

Experience:

  • 2-3 years of experience working in a medical practice setting.

Responsibilities and Job Functions:

  • Hospitality Mindset: Take ownership in creating an environment that consistently produces exceptional client experiences. This includes addressing client concerns and ensuring any complaints are handled appropriately.
  • Highly Detailed: Demonstrate high attention to detail in learning, adapting, and implementing new systems and operations. Comply with all HIPAA and PHI regulations/guidelines.
  • Leadership: Manage, lead and train admin staff. Collaborate with providers and staff to manage a fast-paced environment and orchestrate the flow of clients throughout the clinic.
  • Assist With All Front Office Functions: Check-in/check-out, scheduling, insurance verification. Communicate insurance coverage with clients, collect client payments, and follow up with clients regarding balances due.
  • Phone/Email/Faxes: Monitor and respond to calls, emails, and faxes.
  • Credentialing: Oversee provider credentialing.
  • Manage Office Logistics: Monitor/restock office supplies, provider requests, minor cleaning as needed.

Job Types: Full-time, Part-time

Pay: $23.00 – $25.00 per hour
