.Intake Coordinator Position Purpose:

The Intake/Admissions Coordinator is responsible for the overall admissions for Programs (New Vistas/CSU), in the Jefferson Hills Lakewood facility. The Intake/Admissions Coordinator implements an efficient admissions procedure and process that is customer friendly to the referral source, parents, and youth. The Intake Coordinator will interact with both outside agencies and with team members with diplomacy, respect and professionalism. Responsibilities include:

  • Greet clients and visitors upon arrival, sign them in, obtain insurance information and any other information needed, process payments for copays & facilitate signing of consents.
  • Answer multi-line phones and direct caller to the appropriate party or handle the caller’s needs directly, demonstrating courteous and professional communication and prioritizing confidentiality.
  • Monitor and coordinate admissions of clients for multiple units (New Vistas/CSU, SUD etc.) in Lakewood facility in order to maximize the capacity of all programs.
  • Perform as intake liaison between Jefferson Hills and stakeholders to facilitate efficient, professional communication and problem solving activities.
  • Manage RAE/insurance/contracts for admissions in cooperation with external stakeholders to ensure all information and processes are completed to support billing, including acquiring initial authorization and collecting insurance information, including verifying Medicaid Eligibility.
  • Complete the pre-admit screening process with the Crisis Reporter or the Emergency Room Reporter. Keep referral sources informed about bed availability and waitlist.
  • Provide accurate and detailed billing information in TIER, to include documenting primary and secondary insurance information and attempts to obtain authorization for New Vistas services.
  • Ensure that all information that is pertinent to the intake at New Vistas is obtained from the Emergency Services Team and/or the Emergency Room and initiates Nurse to Nurse when appropriate.
  • Schedule transport for new clients.
  • Accurately enter incoming client information into electronic medical record systems (TIER).
  • Assemble client’s chart and distribute intake information to key individuals.
  • Accurately and concisely complete the Census Report for the end of each shift.
  • Provide ongoing feedback and information on the status of admissions to clinical team members to coordinate intake and admission efforts.
  • Maintain strong customer service including supporting youths and parents who may be in crisis with assistance from other JH staff members.
  • Is an active team member including assisting in training new staff, advocating for the needs of the team with regard to best serving the clients, and identifying areas for improvement of the admission process.
  • Provide support for on-site programs as needed, including maintaining fax and copy machines, and preparing purchase orders to request supplies, office equipment, and other miscellaneous requests for facility departments.
  • Act as dispatch/liaison for Bus Drivers and parents picking up JH Academy day treatment students.
  • Maintain, organize and inventory supply cabinets in closets.
  • Successfully complete all required trainings in a timely manner & attends key internal meetings as assigned.
  • Follow and enforce all Jefferson Hills’ Policies and Procedures, including but not limited to confidentiality, sexual harassment/harassment, dual relationships, physical and sexual abuse reporting, Corporate Compliance and Code of Ethics.
  • Must be willing and able to perform physical restraints with clients using required CPI techniques, and sitting as many as 11-12 hours/day.

Education/Qualifications/Skills:

  • Bachelor’s degree preferred. Will consider candidates with HS diploma or equivalent with minimum two years relevant work experience in case management, billing and insurance verification. Medical Assistant Certifications preferred.
  • Excellent communication skills both verbally and in writing, including computer skills. Multi-tasking abilities, adaptability to change, and demonstrated excellent customer service skills.
  • Understanding of medical terminology, insurance verification, billing, medical/hospital setting preferred.
  • Positive attitude, team player, and a desire to make a positive difference in the lives of others.
