Job Overview

Summary: This position supports the Organization in the following manner:

  • Clinical duties may include taking and recording vital signs and medical histories, preparing patients for examination and administering medications as directed by nurse practitioner or physician.
  • Conducts screenings to screen for psychiatric conditions or track improvements in psychiatric condition.
  • To a limited extent, assists with fulfilling MA duties for family/internal medicine, OB/GYN, and pediatrics. Generally only during periods of down time or urgent need.
  • Maintains medical records.

Reports to: Behavioral Health and Social Services Manager

Supervises: Yes

Dress Requirement: scrubs in accordance to Heart of Ohio Family Health Center’s dress code policy

Work Schedule: F/T

Monday through Friday during standard business hours

Times are subject to change due to business necessity

Job Duties, these are considered essential to the successful performance of this position:

  • Perform clinical administrative desk work, notify patients of abnormal lab results, phone triage, and other clinical duties under the direction of the provider.
  • Pulling Emergency Room Reports prior to the patient visit with the provider.
  • Prepares patients for providers’ visits by educating patients, recording, and collecting patient data.
  • Schedules patients and manages provider schedules. Takes phone calls regarding patients receiving behavioral health care and appropriately handles requests or redirects calls.
  • Helps connect behavioral health patients to other Heart of Ohio services.
  • Conducts patient screenings over the phone and in person.
  • Orient patients new to psychiatric services by providing information on prescriber’s usual medication formularies and limitations on controlled medications as well as prescriber’s limitation on providing administrative supports for community entitlements
  • Provide trauma-informed care that meets the needs of psychiatric patients.
  • Calls prescription orders into a pharmacy, as directed. Contacts patients and pharmacies to confirm medications are picked up and taken as prescribed.
  • Calls patients with lab and/or test results, as directed.
  • May collect and maintain statistical data
  • Follows all laws and regulations and adheres to all of the Organization’s policies and procedures, especially the hazardous, health and safety procedures.
  • Travel to other HOFHC sites as needed
  • Assists with patient inquiries/concerns regarding medical care, medication instructions, and prescription call-ins in a prompt, courteous, and efficient manner
  • Understands the EMR standards and workflow
  • Responsible for compliance with Organizational Integrity through raising questions and promptly reporting actual or potential wrongdoing.
  • Assist with facilitating referrals for patients needing higher level of behavioral health care or substance use disorder care, including patients in crisis situations where a pink slip may be required and coordination with police/Netcare/transportation is need
  • Other duties as assigned

Job Qualifications (Experience, Knowledge, Skills and Abilities)

  • Medical Assistant Certification strongly preferred
  • Prior psychiatric experience preferred
  • Ability to work with supervision and make decisions based on established policies and procedures
  • Skills to expertly deliver exceptional health care to the public
  • Ability to successfully work in unison with others to create an efficient, harmonious work environment
  • Demonstrates competency in working sensitively and respectfully with people of various cultures and social status
  • Knowledge of federal, state and local laws and regulations pertaining to health care and safety
  • Ability to communicate (orally and in writing) in a professional manner
  • Ability to maintain an established work schedule to ensure dependability and accuracy of work quality.

Facility Environment:

All facilities have a medical office environment with front-desk reception area, separate patient examination rooms, nursing stations, pharmacy stock room, business offices, hallways and private toilet facilities. All facilities are on the main ground floor and ADA compliant.

This position’s primary work area is patient examination rooms and nursing stations.

The patient examination rooms and nursing stations areas are:

  • kept at a normal working temperature
  • sanitized daily
  • maintains standard office environment furniture with adjustable chairs
  • maintains standard office equipment; ie, computer, copier, fax machine, etc. at a normal working height
